Bands are graduated, so only the teams inside a band are charged at that band's rate and your bill never falls when you add a team. Each team carries 25 players; the allowance travels with the team, so it is not pooled across the club. Staff, coaches and opponents are never counted. 3-month minimum. Taxes additional.

Payment processing

For online registration payments, we use Stripe Connect. You set up your account once and funds flow straight to your bank. Fees can be passed to the payer (default) or absorbed by your club — your choice per organization. Registration works on every plan, Bench included.

All-in on a card that is ≈4.0% + $0.31. For comparison, TeamSnap / SportsEngine charges 3.25% + $1.50, TeamLinkt charges 2.70% + $0.30, Crossbar charges 1.99% + $0.99. We cost less on small fees and more on large ones, and the 1% is the only thing HockeyOS keeps.

Things people ask us.

How does the per-team discount work?+
The rate falls as you add teams, and it is graduated — each band prices only the teams inside it. Your first two teams are $30 each, your third through ninth are $20 each, your tenth through nineteenth are $12, and anything past that is $8. A twelve-team club pays $236 a month, which works out to just under $20 a team — or about $13.88 per registered player for the season. Because it is graduated rather than a flat rate applied to everything, your bill never falls when you add a team.
What does the season pass cost?+
Ten months of your monthly bill, paid once, for twelve months of service. A twelve-team club that pays $236 a month pays $2,360 for the season. Players over the allowance are $20 a year each on the season pass instead of $2 a month. Team is $290 for the season against $39 a month. Both can be paid by card or by pre-authorized debit from the club's bank account.
What does the 25-player allowance cover?+
Every team you pay for carries 25 registered players at no extra charge, which covers a normal roster of skaters and goaltenders with room to spare. Players beyond 25 are $2 a month each. The allowance travels with the team and is not pooled across the club: sixty players split over three teams costs nothing extra, while the same sixty on two teams is ten players over.
Who counts toward the 25?+
Active players on that team. Coaches, managers, trainers and other staff are never counted, even though they appear on the roster. Neither are parents or guardians, archived teams, or opponent teams that only exist so they can appear on your schedule. Release a player and they stop counting at your next invoice.
What happens when teams or rosters change mid-month?+
We keep the billed team count and the number of players over allowance in step with what you actually have, and Stripe prorates the difference onto your next invoice. You are not charged the moment a team or a player is added, and you are credited when one goes away.
Can I cancel inside the 3-month minimum?+
Yes — but the subscription stays active and billable through the minimum term. We don't lock your data; you can still export everything. After the 3-month minimum, cancel anytime and you keep access through the end of your current paid period.
How does the 1% platform service fee on registrations work?+
When a parent pays a registration fee, Stripe takes its standard 2.9% + $0.30, and we collect an additional 1% as a Stripe Connect application fee. By default the total ≈4.0% + $0.31 is added on top of the registration amount and paid by the payer; you can flip this in settings so your club absorbs it instead. To be straight about how that compares: TeamSnap and SportsEngine charge 3.25% + $1.50, TeamLinkt 2.7% + $0.30 and Crossbar 1.99% + $0.99, so on a $300 registration we are $12.00 against $11.25, $8.40 and $6.96. We are cheapest on small fees and not on large ones. Pre-authorized debit at about ~2.0% + $0.40 is coming for the larger ones. Registration is available on every plan, including Bench.
What do texts cost?+
Club includes 500 text segments a month for availability reminders and asks; Bench and Team do not include texting. A segment is 160 characters of plain text — longer messages, or ones with emoji, use more than one — and we count the same way the carriers bill us. Packs of 500 segments are $15. You can set a lower cap for your club than your plan allows, but not a higher one.
What's the difference between Managed Service and Setup Packages?+
Setup Packages are one-time engagements to get you up and running (branding, site build, data import). Managed Service is an ongoing monthly retainer — we handle roster changes, schedule updates, registration tweaks, anything operational. Both are sold via sales, not self-serve checkout.
Can I bring my own apparel / branding designer?+
Absolutely. Setup Packages include jersey and brand design as services we provide — but if you already have a designer or supplier, the Website + HockeyOS or Onboarding package is what you want. We'll integrate whatever you bring us.
Is my data safe? Where is it stored?+
Data lives in Supabase (Postgres) hosted in North America with daily backups and point-in-time recovery. Authentication is handled by Clerk, payments by Stripe Connect — same infrastructure as thousands of regulated SaaS companies. We never sell or share customer data.
Do you offer discounts for non-profit associations?+
We don't have a formal non-profit program yet, but reach out to sales@hockeyos.ca — most amateur hockey associations qualify for something. We'd rather you use the platform at a discount than not at all.
