Most players in HockeyOS are under 18. Here is what a public widget shows, what it never shows, how consent is recorded, and how a club gets its data out — in plain language.
What's public, what isn't
A roster is public. A family isn't.
A widget or public page shows what a printed program would. Everything a club needs to run a season stays inside its account.

01 · At registration
Consent is recorded, with the time you gave it.
Guardian consent, agreement to the Terms and Privacy Policy, and a separate, optional yes to text messages. Each one is stored against the registration with a timestamp. None of it is a condition of playing.
02 · Before the season
The waiver is signed from a phone, on the record.
The link comes from the club. You read the waiver, sign by drawing or typing, and the signature is kept with the exact text you saw, the version, and the time. Unsigned waivers get a reminder, not a chase.
03 · Every week
One tap answers for your player. No account.
Availability comes as a signed link that is yours alone. It can't be guessed or reused for someone else's player, and it needs no password. The coach sees a tally — In, Out, no answer — not a thread.
How it's handled.
Guardian consent, recorded
A parent or guardian consents at registration and when signing a waiver. Each consent is stored with the time it was given.
Texts need a separate yes
Text-message consent is recorded per guardian, with its source and time. A number without that record is never texted. Reply STOP ends it.
A published retention schedule
Operational logs are deleted on a schedule, nightly. The periods are on the privacy page and are read from the same file the purge uses.
Export and deletion, by the club
An admin can export the club's data in full and can delete the club permanently. Deletion is immediate and includes uploaded files.
Roles lock the admin areas
Owner, admin, manager, coach, scorekeeper, parent, player, viewer. Registration, payments and households open only to the roles that need them.
An audit log
Score edits, roster changes, invitations and waiver edits are logged with who did them and when. Club admins can read it.
The sheet scanner
What the scanner does with a photo.
When a club photographs a paper game sheet, the photo is sent to an AI provider to read the goals, penalties, shots and goalies into a review screen. The club's staff check every row before anything is saved.

Things parents ask us.
Who can see my child's birthdate?
Nobody on a public page or widget. Inside the club's account, staff whose role includes the roster can see it — the people who place a player in the right division.
Can I remove my child's photo?
Ask the club. Headshots are the club's choice: its staff upload them and can remove them, and a roster works without them.
Do you sell our data?
No. We don't sell personal information, use it for advertising, build marketing profiles, or use club data to train AI models. The privacy policy says so in those words.
How do I stop the texts?
Reply STOP to any message. Our messaging provider blocks further texts to your number and sends one confirmation. Reply START to opt back in, or ask your club to remove the number from your household record.
How do we get our data out?
A club admin can export the whole organization as JSON and registrations as CSV, and can delete the organization permanently. For your own information, ask your club first — its staff can view, correct and delete it. If you can't reach them, write to privacy@hockeyos.ca.
