SMS Terms and Consent

1. The program

HockeyOS Team Messages is the text-messaging program run by HockeyOS (Viralocity Media Ltd.), British Columbia, Canada, on behalf of the hockey clubs that use HockeyOS. Messages are about your club’s games and practices. HockeyOS never sends marketing or promotional texts, and never sells or rents phone numbers.

Text messaging is off for every club until an admin turns it on in the club’s settings. Until then, no texts are sent.

2. What you will receive

Every message is tied to one scheduled game or practice. There are three kinds:

  • Day-before reminder — sent once, the day before an event, asking whether your player is coming, with a one-tap reply link. Sent automatically each afternoon.
  • Same-day nudge — sent once, on the morning of the event, only if your player’s attendance has not yet been answered.
  • Staff request — sent when a coach or manager presses “Ask who’s coming” for an event, for example after a schedule change.

A typical message looks like:

Tomorrow: U13 Wolves vs Ridge Hawks, Sat, Oct 4 at 7:00 p.m., Abbotsford Centre. Reply here: hockeyos.ca/rsvp/… Reply STOP to opt out.

Frequency: at most two automated texts per event per household, plus occasional staff requests. During the season that usually means two to six messages a week; outside the season, none. Each club has a monthly cap (500 messages by default) after which no further texts are sent that month.

3. Where your number comes from and consent

HockeyOS sends texts only to the phone numbers on a family’s household record, which club staff enter in the dashboard from the contact details you gave the club (at registration, on a team form, or directly to a team official). A phone number you type on an online registration form is stored with the registration but is not used for texting unless staff add it to the household.

We text a number only with your express consent, and we keep the record: the time and source are stored against the number when you tick “Text me schedule changes and reminders” on a registration form, or when club staff record on the household that you agreed. A number without that record is never texted, even if it is on file. If you did not agree to texts, tell your club or reply STOP.

Agreeing to texts is never a condition of registering for, or playing on, a team. Every message can also be received by email or push notification instead, at your choice.

4. How to stop

Reply STOP to any message. Our messaging provider blocks further texts to your number at the carrier level and sends one confirmation; nothing follows it. Reply START to opt back in. You can also ask your club to remove the number from your household record, which stops texts from that club without affecting others.

6. Cost

Message and data rates may apply according to your mobile plan. HockeyOS and your club do not charge you for these messages.

7. Delivery

Messages are delivered through Twilio to Canadian and U.S. carriers. Carriers are not liable for delayed or undelivered messages, and delivery is not guaranteed; a text is a convenience, not the only record of your schedule.

8. Privacy

Your number is stored on your household record in the club’s account. For every text sent, HockeyOS keeps a log of the number, message type, related event, delivery status and time, which the club uses to stay under its monthly cap. Twilio keeps its own delivery records. Numbers are never used for marketing or shared for anyone else’s purposes.
